Configuring reminder schedules so notice dates and deadlines never arrive unannounced.
The problem reminders solve
Contracts, licences, policies and certifications carry dates that matter — a notice window, a renewal, a mandatory review. When those dates live only in a document, they are missed. DocOpsly attaches them to the matter and schedules prompts ahead of time.
Configuring a schedule
In the workspace, define one or more schedules. Each schedule is a set of lead times, for example 90, 30 and 7 days before. Assign a default schedule to each matter type; individual matters can override it.
Who is notified
Reminders go to the matter owner set by your matter conventions. If the owner has not acknowledged a reminder before the next lead time, it escalates to the backup contact and, finally, to the Admin.
What a reminder contains
The matter name, the date and what it represents (notice deadline, renewal, review due), the owner, and links to the relevant documentation pages. Where a renewal implies a documentation change, agents draft the update in advance so it is ready for approval when the date passes.
Good defaults
- Commercial contracts: 90 / 60 / 30 days before the notice deadline.
- Policies: 30 days before the scheduled review date.
- Licences and certifications: 60 / 14 days before expiry.
Reporting
Admins can see all upcoming dates across the workspace in one view, filtered by owner, type or month, and export them for planning.
